How to add a new mediator to the panel
A mediator joins your panel in two steps: they get a Scale account, and that account gets linked to you. The link is what makes their cases, calendar, invoices and inquiries appear on your screens.
Before you begin
The mediator needs to have completed Scale's mediator registration and have a live profile. Until they do there is nothing to link.
1Ask Scale Mediation to link them to your panel
There is no Add mediator button on the Mediators page, and that's deliberate — the roster link decides what a case manager account can see, so it's created for you rather than by you.
Send Scale Mediation the mediator's name and the email on their Scale account, and say which case manager panel they belong on.
2Check they've arrived
Refresh Mediators. The new name appears in the list with Active status and a case count of zero. Active Mediators and New This Month on the tiles both move up by one.
3Set your fee for them
This is the part people forget. Your fee is stored against each mediator individually, not once for your whole panel, and a new link starts at a fixed fee of zero — so until you set it, every case that mediator books earns you nothing on the Case Manager Fee tiles.
Open the mediator, then the Case Manager Fee editor at the top right. See How your case manager fee is calculated for what to put in it.
4Check the contact email on the link
Counsel replying to an email about that mediator's cases reaches an address held on the roster link, and it's set per mediator. Some case managers deliberately run a different address per mediator — Nikki Safavi answers as nikki@libbyadr.com on Libby cases and Nikki@naftelmediations.com on Naftel cases, so counsel never sees a third-party brand. Others use one address throughout. Tell Scale Mediation which address belongs on the new link.
