Inside a case
The case page is where you'll spend most of your time. Everything about one mediation is on it: the pleadings summary, the documents, the parties, the invoices, the agreements and the actions you can take on the date.
This walkthrough uses Bramwell v. Northline Freight Systems, Inc. (SM-2026-0101) — a full-day virtual employment mediation on 5 October 2026.
The header
The case name, with a pencil beside it for renaming. Underneath: Mediation Date, the slot, Start Time in your timezone, Trial Date, and Mediation Type with a Change link for switching between Virtual and In-Person. The booking date sits on the right.
Below that, both sides' Onboarding / Payment / Brief dots, then four buttons:
- Plaintiff Onboarding Link and Defendant Onboarding Link copy that party's onboarding URL to your clipboard. It's the same link they were emailed, so you can paste it into a reply when someone says they can't find theirs. If a side has more than one party, the button becomes a dropdown with one entry per party.
- Copy Zoom Link copies the join link for the parties. If your agreement module is on, this copies the gated join page rather than the raw Zoom URL, so the signing check still applies.
- Join Breakout Room opens the meeting for you.
Both Zoom buttons are greyed out until a Zoom link exists on the case.
Case information and pleadings
A row of facts read off the booking and the onboarding forms — Referring Judge, Case Type, Case Number, Plaintiff's Last Demand, Defendant's Last Offer.
Below it, the substance the parties submitted: Causes of Action, Remaining Discovery, Remaining Law and Motion.
Case Documents
Everything filed through the onboarding forms, grouped as Case Documents, Plaintiff Documents and Defendant Documents.
Upload adds a document yourself. You pick the party and the category it belongs to — Brief, Additional Documents, Mediator Documents, Operative Complaint, Service List, Court ADR Order or Mediation Statement.
Beside each party's section is a Brief Received Manually checkbox. Tick it when a brief arrives by email instead of through the form. It turns that party's brief dot green and stops brief reminders going out. Once ticked, the label changes to Received via Email.
Parties
Each side listed with name, email, phone and designation. The buttons above are Remove Party and Add Party — see How to add a party to a case.
The pencil, plus and bin icons on each party's header edit that party's details, add a participant under them, or remove them.
Finances
Every invoice on the case: who it went to, which side they're on, the payment date, the mediation date, the amount, a download link and the status.
Not Paid is red, Paid by Stripe and Paid Manually are green. A $0 row with no real invoice shows as No Payment in grey, which is what an hourly case looks like before you've billed anything.

Create Invoice opens the itemised invoice builder — see How to create an additional invoice. Edit Invoice changes the invoices already on the case, and is disabled until at least one exists, and again once both sides have paid.
Signatures
The status of the mediation agreement, party by party, with a Resend on any row that hasn't signed and a download for the whole signed bundle.
If you don't use the agreement module this section reads No signing request and stays empty. Signing requests are created automatically at booking for mediators who have it switched on.
AI Case Insights and Ask Ayla
Generate AI Insights reads every brief and exhibit on the case and produces a summary. Ask Ayla is a chat assistant for the case, and it works best after the analysis has been run — the card says as much, and offers Skip for now if you'd rather not.
Mediator Notes
A rich-text box at the bottom of the page. Private to you. Case managers can't see it.
The right-hand column
Case Progress Tracker
Onboarding, Payment and Brief for each party, each with a state: Completed, Due in 3 days, 14 days overdue. Below the summary, each party expands to show the dated record of what's happened.
The overdue figures are measured against your own reminder schedule, not a fixed rule.
Trigger Reminder Email
Pick a party, tick the reminders to send, and send them. Each checkbox greys out when it doesn't apply — a completed onboarding disables Onboarding Reminder, a submitted brief disables Brief Reminder, a paid invoice disables Payment Reminder, and a case with no Zoom link disables Zoom Invitation. Case Actions
- Delete Case removes the case and its records.
- Reschedule Case moves it to a different open slot.
- Take off Calendar cancels it.
- Email Parties opens a picker of every address on the case, then hands them to your own mail client. The message is written and sent by you, so it lands in your Sent folder and Scale keeps no copy.
- Change Time moves the start time without moving the date.
