Your profile and settings
Everything about how your practice behaves lives under Profile, across eight tabs: Profile, Pricing, Reminders, Files, CRM Settings, Integrations, Email Templates and AI.
Two of them have their own articles: How to set your rates for Pricing, and How to connect Zoom, Stripe and your calendar for Integrations.
Profile
Profile is your name, email and designation, with Password Management beside it for changing your password.
Mediation Time
Your Timezone, and the three slots your booking link offers, each with an on/off switch and a start time:
- Morning Slot — Renee Castellano's starts at 9:00 AM.
- Afternoon Slot — 1:00 PM.
- Full Day Slot — 9:00 AM.
Turning a slot off removes it from your booking link. The start times here are what the booking page publishes; an individual case can still be moved to a different hour afterwards with Change Time.
All Email Cc
Addresses entered here are copied on emails. Type an address and press Enter to add another.
There are two of these panels. All Email Cc and All CC Email of Mediators are separate lists.
In-Person Venue
The address shown on your booking link when a party picks In-Person, and used as the case's default location. Leave it blank to show no address.
Invoice Memo
Three free-text fields printed on every invoice you send through Scale: Invoice Footer, Cancelation Policy and Additional Information. This is where your cancellation terms belong, so they travel with the invoice instead of living in an email.
Reminders
Reminder Schedules sets when automatic reminders go out, in three groups: Onboarding Reminder, Brief Reminder and Payment Reminder.
Each group holds up to four reminders. The first is measured from an event and the rest from the one before it:
- Onboarding — the first is days after case registration; each later one is days after the previous reminder.
- Brief — every reminder is days before the mediation date.
- Payment — the first is days after invoice creation, the second is days after the invoice due date, and later ones are days after the previous reminder.
No interval can exceed 45 days. Reminders are sent on business days only.
Files
Three sections:
- Agreements that need signature — the agreement parties are asked to sign. The most recently uploaded one is used automatically for new signing requests on your cases, so uploading a revision is how you change what people sign.
- Agreements that don't need signature — anything you want sent out at booking without a signature.
- W-9 Forms — your current W-9, kept on file so payments aren't held up.
CRM Settings
Two lists that shape your CRM:
- CRM – Default Tasks List — the tasks created against every new lead you add.
- CRM – Custom Dropdowns for Case Outcome Report — extra fields you want to record against contacts.
Email Templates
Your own wording for the emails Scale sends to parties. Each template resolves in tiers: your customisation first, then the default for your practice. Leave one alone and the default is used.
AI
AI Prompts Management — your own prompts for the AI case analysis and the Ask Ayla assistant on the case page.
