How to create an additional invoice
Sometimes the booking fee isn't the whole bill. Extra hours, a second session, travel, a cancellation charge. Create Invoice on the case page builds a line-item invoice for whatever else needs billing, on top of whatever was raised at booking.
Before you begin
Your Stripe account has to be connected, and the case can't be cancelled — the button is disabled on a cancelled case.
1Open the builder
On the case page, Finances → Create Invoice.
2Step 1 — who's being invoiced
Send to all parties raises one invoice per party. Or pick a single party, if only one side is being billed for this.
You can also edit the client information on the invoice at this step, for when a firm's billing address or contact differs from the attorney on the case.
3Step 2 — the line items
A table with Description, Hours:Minutes and Rate ($/hr). Add Item adds a row.
The rate is pre-filled from your hourly rate, and the amount for each row is hours multiplied by rate. To bill a flat amount rather than time, put the whole figure in against one hour.
The due date is on this step too, pre-filled from your reminder settings. It can't be in the past.
If you're invoicing more than one party, the same section carries Invoice Allocation by Party:
- Equally Split Between All Parties — each party pays an equal share. Five parties means 20% each.
- 50% Split by Side — each side pays half, then splits its half among its own parties. Two plaintiffs and three defendants means 25% each for the plaintiffs and about 16.7% each for the defendants.
4Step 3 — check it and send
A preview of the invoice as the party will see it, with the totals beside it. The due date is set on step 2 and pre-filled from your reminder settings; change it there if it's wrong.
Two buttons:
- Save as Draft — keeps it on the case without sending. Drafts show as a Draft Invoice button on the Finances panel, so you can come back and finish it.
- Send Invoice — finalises it in Stripe and emails it.
Send Invoice stays disabled until the invoice is actually sendable. Hover it and the tooltip tells you what's wrong: a missing due date, a due date in the past, no line items, items with no rate, or an item with no description.
If your invoices are held for approval
Some practices have Scale hold invoices rather than email them the moment they're generated. If that's you, a generated invoice sits at held on the Finances table with a letter icon beside it, and its row actions are disabled until you approve it. Clicking the letter approves it and sends it to the parties.
